This is an entry-level position in our Patent Records team, ideal for individuals beginning a career in intellectual property administration. As a Trainee Patent Records Clerk, you will play a key role in supporting the smooth, accurate, and timely handling of patent-related casework across the UK (GB) and PCT (international) systems.

You will receive full training in the systems, processes, and legal frameworks involved in managing patent cases, working alongside experienced colleagues in a supportive and professional environment. This role forms the first step in a clear and structured development pathway, offering opportunities for progression as your knowledge and confidence grow.

Key responsibilities include:

  • Processing new (primarily internal) booking requests for all case types, in line with firm procedures.
  • Accurately updating case records and ensuring all documents are correctly provided to Fee Earners.
  • Updating receipt of examination reports.
  • Updating publication details.
  • Updating recordal actions (e.g., assignments, changes of name/address).
  • Updating grant details and processing grant certificates, when received.
  • Saving GB and PCT correspondence into iManage and ensuring timely processing.
  • Ensuring electronic correspondence is accurately and consistently recorded.
  • Assisting the wider Patent Records team with administrative tasks, as required.
  • Learning firm workflows and contributing to a smooth, organised working environment.

Knowledge, understanding & experience (developed through training):

By progressing through Level 1, you will develop the ability to:

  • Use Outlook, Excel, Zoom, and internal systems confidently.
  • Understand commonly used patent terminology.
  • Understand the lifecycle of a patent (GB and PCT) from filing through to grant.
  • Perform basic reports and searches on Inprotech.
  • Navigate and use the UKIPO and WIPO websites.
  • Carry out basic document searches in iManage.
  • Understand the difference between a docket fee and an official fee and know how to check WIP (Work in Progress).
  • Progress from having all work fully checked to completing routine tasks more independently as competence increases.
